PAID/DEDICATED EMAIL PROTOCOL
- All paid email advertising is coordinated directly through our advertising representative.
- If you are a rental client, please work with Audrey Gildea at agildea@kimmelculturalcampus.org.
1) Scheduling
Requests for scheduling emails must be submitted no less than four weeks in advance of deploy date. To check on the availability of a date, we must receive:
- Which weeks you would like to send the email (first 3 choices if possible).
- Which lists you'd like to send to (up to 3).
The longer the lead time, the better chance of approval for preferred date/s.
Kimmel Cultural Campus will try to target dedicated paid emails to requested list genres (subject to availability).
2) Contracting
After the details are confirmed, the ad representative will send a contract.
3) Creative Submission
The completed form must be submitted prior to 7 business days to the email deploy date.

4) Routing
Ad representative will route the email for approval from the Advertiser with a strict deadline for feedback. If needed, there is a maximum of two rounds of edits.
Additional Specs on Info Need for Dedicated Emails (The link above has a form to submit this info):
- Include approved fully vetted copy.
- Include camera-ready graphics / images. Images (PNGs) should be sized and optimized for web (no high-res files- 72 dpi).
- Banner graphic specs: 800 pixels wide, variable height from 200 – 300 pixels, PNG format. Provide a URL for embedded link if desired.
- Subject Line
- Preferred time of day for deploy. Note that exact timing of email deploys are subject to the availability of our email service provider (Wordfly).
- Sponsor recognition must be listed in email footer with text only. No logos.
- Photo credits may be listed in the email footer.
Dedicated emails may contain up to five (5) events/programs including the following:
- Headline (Optional)
- Title/date/venue
- URL for buy button
- One image (800px with variable height)
- A description containing no more than 100 words
- Optional: Conductor/soloists/director; Program listing; URL for additional information
- Sponsor recognition must be listed in email footer with text only. No logos.
- Photo credits may be listed in the email footer.
